Mail

This section will help you understand Web Mail related features. It will probably grow over configuration of certain email clients and such things.

Configuring Outlook Express

Outlook Express is the default mail client shipped with every windows xp machine in the world. I guess it makes sense to show people how to configure it to check our email account that is hosted by alkaloid.net. For this tutorial where you see alkaloid.net please replace that with the email address of the account you have.

My incoming mails server is a POP3 server
Incoming mail: mail.alkaloid.net
Outgoing mail: mail.alkaloid.net
Account Name: bob.buck@satv.ca
Password: youknow

That will finish the setup wizard now you need to go into the properties of your new account. So from Outlook Express ---> tools ---> Accounts ---> click on mail.alkaloid.net and go to properties:

Name to refer to these servers: bob.buck@satv.ca
Name: Bob Buck
Email Address: bob.buck@satv.ca

On the servers tab you must click the very bottom check box that says "Outgoing Mail Server" Click the box beside "my server requires authentication" then click on settings:

Log on using: 
Account name: bob.buck@satv.ca
Password: youknow
Remember Password: Checked
Log on using Secure Password Authentication: NOT CHECKED!!

Then click ok. Then we have to move to the advanced tab. We need to click both the check boxes that say "This server requires a secure connection (SSL)"

After checking these boxes please change the ports in both the spots next to:
Outgoing mail (SMTP):  Default is 25 we need to change it manually to 465
Incoming mail (POP3):  Default is 110 it will change to 995 when you click the box.

Click Apply and then OK and you should be good to go. This concludes getting outlook express working with alkaloid.net's POP3 mail service. Don't forget you do have the option to use IMAP.

Address Book

This section will help you understand address book related features.

Enabling Your Address Book

The default install of your webmail account doesn't come with your address book enabled. If you would like to use an address book to store contacts you have to enable it. This is done with the following steps. Step 1: Login to http://mail.alkaloid.net with your email address and password. Step 2: You will arrive at your home page. This homepage gives you a graphical view of all the different available services. Click on the Mail link along the bottom of the screen.

Step 3: On the mail page you will then need to choose the options link from the top menu

Step 3: Inside the mail options you need to click on the address book listing

Step 4: On the address book page you need to update the drop down box that says, " Choose the address book to use when adding addresses." This will enable you to add people that have sent you emails to your address book.

Step 5: Use the drop down box to select MyAddressBook and then choose save options button at the bottom to save your setting.

You can now go into your emails from people and click an icon by their name to add them to your address book. Once contacts get into your address book you can then create groups for them so that you can answer them all at one time.

Distribution List

We have had many requests for people wanting to group address book contacts together and send them all a group email. This feature is available in our webmail and this section will hopefully explain to you how to use it.

First lets start by logging into your webmail account and clicking on your address book from the bottom link menu of your home page. Once inside the address book choose the browse option to let you see all the contents of your address book. This is assuming of course you haven't already enabled this view as default from inside the address book options.

You should be looking at something like this

There is a couple things to understand here. In order for a contact to make it into a distribution list it must first be added to our address book. Once you have that contact in your address book if you would like to add them to an already existing group put a check mark in the box beside their name to select that contact and then go to the right hand side of the page where it says "Add to" Select which list you'd like to add them to from the drop down list. If you'd like to add them to a new list then simply choose "New List" and you will then be prompted for the name of the new list. Once you type in the name and click ok the new list will be made and that contact will be inserted into it. You can then use the "Show Lists" link to see just the contacts group in lists.

Another thing to remember when doing mass mailout is to always put the group of people receiving the mail into the BCC: section and not into the TO: section. Otherwise every person who your sending the email to will be able to see the others in the list.

Let me just take another second to address the proper method for sending out to a distribution list. This is a solution that has worked for us in the past. It requires a couple pieces of understanding. First of all. In order to hide the receiver's email address from prying eyes inside the distribution list we don't want to use the TO: field to send out mass emails. What I setup for one client was an email address named lists@domain.com. When he would create an email for mass mailout he would craft it like this:

To: lists@domain.com
Cc: 
Bcc: Test List: sales1@domain.com, sales2@domain.com, sales3@domain.com
Subject: Mass Mailout

This is a mass mailout.  The receiver will only be able to see a 
To: lists@domain.com  address and a from address.  
They will not be able to see the other people in the distribution list.
